A Zoho consultant for the problems between your applications
Your team has licences. The applications are live. Yet leads still need manual reassignment, reports disagree and a small configuration change seems to break something else. Buying another application will not necessarily resolve those problems.
FI Digital reviews existing Zoho environments to establish what is happening, why it matters and which changes deserve attention first. The aim is a workable improvement plan that your business owners and technical team can understand.
Start with evidence from daily work
We ask for examples of the difficulties your users encounter. A salesperson may be unable to see the latest service issue. A manager may rely on a spreadsheet because dashboard definitions are unclear. Finance may be correcting records created earlier in the sales process.
We trace those examples through the workflow. This helps separate a software defect from a data issue, an unclear ownership rule or a process that has never been agreed. Each problem needs a different response.
What the review covers
Configuration and process alignment
Review modules, fields, stages, approval rules and automations against the intended business process. Identify overlapping rules, unused customisations and changes that have become difficult to maintain. The output should explain what each recommendation addresses, rather than simply count configuration items.
Data and reporting
Inspect a controlled sample of records for duplication, missing fields, inconsistent ownership and broken relationships. Reconcile important reports against agreed definitions. Before adding a dashboard, establish which source is authoritative and who is responsible for correcting upstream information.
Integrations and permissions
Review the systems that exchange information with Zoho, including the events that trigger a transfer and the actions taken when it fails. Check the access granted to users and service accounts within the agreed scope. Record dependencies that require another supplier's involvement.
Adoption and administration
Understand how people actually use the environment. Identify tasks that take unnecessary effort and training that is missing. Review how changes are requested, tested, approved and documented. A technically sound configuration still needs an operating owner.
Turn the findings into a repair sequence
The health-check output should distinguish immediate defects, operational risks and optional improvements. Each item needs an owner, a dependency and an acceptance measure. A broken lead handoff may take priority over a new reporting feature because it affects current customer enquiries.
We also identify what can remain unchanged. Removing a customisation without understanding its business purpose can create a new problem. The review should make the decision clearer, including where more investigation is needed before work is priced.

Enquiry and sales connect with service and delivery, then finance and reporting, under shared ownership, permissions and support rules.
A practical architecture review
For larger environments, the question is often which application should own a record or action. We map those responsibilities across CRM, finance, service and custom applications. Where an integration updates several systems, we define how conflicts, duplicate requests and partial failures are handled.
The resulting architecture can support a phased improvement programme. It need not become a wholesale replacement project. Your team should understand the trade-offs between a targeted correction, a configuration redesign and custom development.
AI should follow a stable workflow
An AI agent can make a poor handoff faster without making it correct. Before introducing an agent, establish the approved knowledge sources, permitted actions and escalation route. Test whether ordinary rules or better configuration already solve the problem.
Where AI is justified, evaluate representative examples, including incomplete requests and exceptions. Keep the decision to automate separate from the decision to buy a particular model or orchestration platform. The important question is whether the workflow can be operated responsibly.
Clear boundaries for the engagement
The review proposal defines applications, business units, sample access, interviews and deliverables. Implementation is a separate decision. That keeps the diagnostic useful even when your own administrator or another provider carries out the work.
You receive an explanation of the findings, a prioritised backlog and the assumptions behind the recommended sequence. Any remediation proposal should show testing, release and support responsibilities alongside the build effort.
Start with one recurring problem
Describe the report you cannot reconcile, the automation that behaves unexpectedly or the handoff that requires repeated manual work. Tell us which applications and teams are involved. We can use that example to define a review before changing the live system.

Frequently asked questions
What is a Zoho health check?
It is a structured review of how an existing Zoho environment supports the business. The agreed scope can include configuration, data, integrations, permissions and adoption. The useful output is a prioritised improvement plan with evidence and ownership, rather than a generic score or a list of additional products to buy.
Can you review a system without changing it?
Yes. Discovery can use read-only access, interviews and controlled examples where that is sufficient. Any proposed production change should follow a separate approval and release process. We agree access and handling arrangements before the review, and request only the information needed for the defined questions and scope.
Will you recommend rebuilding everything?
Only if the evidence supports that option. Many problems can be addressed through targeted changes to ownership rules, data quality, integrations or training. We compare the likely effort and operational impact of repair and redesign. Existing working features should not be discarded simply because another team originally built them.
Can your review include custom Deluge functions?
Yes, where the relevant code, permissions and documentation are available within scope. We examine the business purpose, dependencies, error handling and maintenance implications. We may need the original developer or another supplier to clarify external components. Any remediation is tested against agreed scenarios before a production release.
How do you prioritise the improvement backlog?
We consider the impact on customers, staff effort, control weaknesses, frequency and dependencies. A repeated failure in lead or invoice handling may matter more than a cosmetic request. The backlog should state what success means and who approves it, so the business can make informed sequencing decisions with limited resources.
Can our own team implement your recommendations?
Yes. The review can produce a documented backlog and architecture that your team uses directly. If you need delivery support, that can be scoped separately. Responsibilities for testing, deployment and ongoing administration should remain explicit, whichever team makes the changes and maintains the resulting configuration or integration.
What should we prepare before a review?
Prepare the application list, known integrations, examples of recurring problems and the names of business owners. Existing process documents and a change history can help. Do not send credentials through an enquiry form. Access to confidential records, exports or code should follow an agreed secure process after scoping.
How will we know the repairs worked?
Define a baseline and acceptance scenarios before implementation. Depending on the issue, those may include correctly assigned enquiries, reconciled reports, reduced manual corrections or successful integration recovery. Review the outcome with actual users after launch. Closing development tickets alone does not demonstrate that the original business problem has been resolved.
